A commission system that calculates rep bonuses without Excel

The Gamfi platform calculates bonuses and commissions automatically from your sales data – with thresholds, accelerators and multipliers. A rep checks their calculation during the period, and controlling stops working it out in a spreadsheet.

How it works

From a commission plan on paper to a calculation nobody questions.

  1. 1

    We mirror your plan

Thresholds, accelerators, multipliers, exclusions, different rules per role and region – we set them up once, then they run on their own.

  2. 2

    Data feeds the calculation

Sales and KPI data flow in from your systems, so the calculation rests on the same numbers as management reports.

  3. 3

    Everyone sees their own calculation

A rep checks how much they have earned and why, during the period – not on the 20th of the following month.

  4. 4

Approvals and corrections in one place

The manager and controlling approve calculations, and every correction leaves a trace – no more emailing files back and forth.

More, because it is one system

Compare commission systems and the same pattern comes back: they count the money in isolation from what drives sales.

Commission from the same number as the target and the contest

The market splits this into separate purchases: a commission system calculates the bonus, a motivation tool runs the leaderboard, and data moves between them by export. In Gamfi the target, the result, the leaderboard and the calculated bonus stand on one result – you run one rollout and one contract instead of three.

Calculation and leaderboard in one place

No tool puts in one place how much a rep has earned, how they compare with the team and where they stand in the current contest. Commission systems keep the process tight but have no motivation layer, and motivation tools have leaderboards but no commission.

A dispute loses its fuel once you can see where the amount came from

Commission disputes are a built-in cost of this category: industry data points to 3 disputes per 100 statements, taking an average of 3 working days each to resolve. In Gamfi a rep can drill down from the amount to the deal and the rule themselves, and changes stay in an unmodifiable log – the conversation stops being an argument over whose spreadsheet is right.

What you get in Gamfi

The scope you expect from a commission system – on data you never have to move anywhere.

Rules engine

  • Rules set up without codingthe plan is set up in the system, not ordered from the vendor
  • Thresholds and acceleratorsa higher rate once an attainment level is passed
  • Lower rate below a thresholdwhen the plan needs to penalise missed attainment
  • Multipliers combining several conditionsplan attainment together with margin or basket mix
  • One-off bonuses for a sales pusha short-term rate on a chosen product alongside the standing rules
  • Different rules per role and regionadvisor, manager and branch each calculated by their own rules

Who gets the commission

  • Splitting commission between repswhen several people close the deal together; in requirement matrices: split credit
  • Manager commission on team resultsa regional manager calculated on their people's results; in matrices: overrides

Calculation and corrections

  • Automatic calculation from sales datano copying results into a spreadsheet
  • Correcting a closed period with a recalculationa fix does not require recalculating everything from scratch
  • Clawing back commission on a return or cancellationdeduction rules from the next payout; in matrices: clawback
  • Calculation approval paththe manager and controlling approve, and a correction leaves a justification

What the rep sees

  • A "what would I earn if…" simulatorthe commission plan translated into today's deal decision
  • A commission statement you can drill intoyou can see which deals and rules the amount came from
  • Calculation updated as data comes inthe pace depends on how often we receive data from your systems
  • Notification of the calculationin the app, by email or SMS

Disputes and audit trail

  • A dispute filed against a specific dealthe question is tied to a specific line item
  • An unmodifiable event loga record of who changed a rule or amount, and when

Data and the route to payout

  • Data exchange with your sales systeman API designed for integration, plus file feeds to start with
  • Passing calculations to HR and payrolla ready payroll line instead of a manual export
  • Payout to a card or a digital walletwhen a bonus needs to arrive outside the payroll cycle

Common questions

Open the one that applies to you.

Do we need a consultant or a developer to change the rules?

No. Plan rules are set up in the system, and we transfer your model together with you during rollout. This is a common problem in this category: configuring the plan needs vendor consultants that nobody budgeted for.

Does a rep really see the calculation in real time?

The calculation updates once data arrives from your systems – so the pace depends on how often you send it, and we agree that during rollout. We say this plainly, because in this category a "live" promise is often misleading: a lag behind transactions in the sales system is a repeat reason teams stop trusting the number on screen.

What happens when a rep flags that an amount is wrong?

They flag the question against a specific deal, not by emailing controlling, and the explanation and the decision stay in the system next to the amount. Disputes cannot be brought to zero – that is a normal cost of doing business in this category – but the path to an answer gets shorter, because both sides look at the same source.

Can we fix a period we have already closed?

Yes. A correction recalculates what changed, without recalculating the whole period from scratch, and the reason for the fix stays attached to the calculation. The change history is unmodifiable, so you can see what was corrected and why.

Will this replace our HR and payroll system?

No. We calculate the variable pay and pass ready-made line items to your HR and payroll – payroll runs, contracts and settlements with ZUS (Polish social security) stay exactly where they are today.

Where does the system get its sales data from?

From your sales systems – the API is designed for that exchange, and file feeds also work to start with. Not having a ready-made integration does not block the start.

What does the price depend on?

Several factors affect the price: the number of people, the range of modules and the complexity of the commission plan. We are happy to go through the details at a meeting and in the contact that follows. Public price lists are practically non-existent in this category, and the rollout cost with large vendors can be comparable to a year of licence fees.
