In this category, programme cost is pieced together from several places: points in the motivation tool, an invoice for rewards from the catalogue vendor, tax charges in an accounting spreadsheet. We checked 25 vendors and none describes such a statement – in Gamfi these components come from the same records you run the programme from.

Leaderboard points do not draw on the rewards budget

The wallet keeps the spendable currency and the leaderboard currency separate, so the leaderboard race can run all year, and money only moves where a participant actually redeems points for a reward. Programmes run on a single currency have to choose: either the leaderboard or cost control.

A reaction during the season, not after it closes

The most common scenario in programmes run on spreadsheets is that the cost is known only after the quarter closes, when there is nothing left to correct. Here the pool, its burn rate and the limits work throughout the programme, so you decide to change the mechanics while it still changes something.

Will you replace our finance and accounting system?

No. We show how much was awarded, redeemed, and left, plus how many points participants still hold in their wallets. Booking the cost and accounting decisions stay with your finance team – we supply the data, we do not keep the books. That is how this whole category works, and we say so plainly.

How do we know the programme paid off?

That is a question about effect, not cost, and a separate module answers it – programme effectiveness analysis, where participants' results are set against the rest of the network and the period before launch. This page answers whether you are in control of the spend.

What about points nobody has redeemed yet?

You see their value together with participants' balances, because an awarded point is a promise the programme still has ahead of it. How to book that is your accounting team's call – no vendor makes that decision for you, because it is an accounting question, not a system one.

Can a regional manager have their own limit?

Yes. The manager gets a pool to reward from independently, you see how much of it is used, and a warning goes out as it nears the limit.

Can spending be stopped once a pool runs low?

Yes. A soft limit warns and lets you knowingly cross the threshold; a hard limit stops awarding further funds from the pool until you decide to increase it. Points already earned are redeemed normally by the participant – a budget block does not take away a reward someone has earned.

How does tax on rewards enter the programme's cost?

Charges sit in the cost statement next to reward values, so the budget has no hidden depth. The tax settlement itself has its own separate path in the reward tax module, so the two topics do not get mixed in one place.

What does the price depend on?

Several factors affect the price: the number of participants, the range of modules and the value of rewards awarded in the programme. We are happy to go through the details at a meeting and in the contact that follows.
